Solutions · Trade Fair & Conference Side Events

The meetings happen next to the stand.

A stand gives you traffic. A side event gives you the conversation. We produce the dinners, receptions and press moments that turn fair days into named contacts.

In brief

What
Dinners, hospitality and buyer meetings produced alongside a trade fair or congress.
Who it's for
Exhibitors, sales organisations and companies bringing a delegation to a fair.
Size
From 12 to 120 guests.
Cities
Helsinki, the Nordic fair cities and European fair cities.
Lead time
A side event needs six to twelve weeks.
Languages
English, Finnish and Swedish.

The situation

You are already paying for the audience. Use the evening.

Exhibitors travel to a fair with a stand, a schedule and a target list. What is usually missing is a setting where the target list can be talked to for two hours without a queue behind them.

We produce that setting in the same city and the same week: a venue within reach of the fair, invitations, guest confirmation, hosting, photography and a list of who actually attended.

Who this is for

Exhibitors, associations and conference organisers

  • Companies exhibiting at fairs in Helsinki, Stockholm and the Nordics
  • Sales and marketing teams with a named target list for the fair week
  • Associations and conference organisers building an evening programme
  • International brands entering a Nordic market through a fair
  • Agencies producing a client's fair presence and needing local execution

Typical assignments

What we are usually asked to produce

Hosted dinners

A table for 10 to 40 named guests near the venue, with seating built around who should be talking to whom.

Evening receptions

A venue, a programme short enough to keep, and hosting so no guest is left standing alone.

Press moments

A briefing or product moment for journalists already in town for the fair, with material prepared in advance.

Delegation hospitality

Transport, dinners and a schedule for a visiting group across the fair days.

The path

From fair week to named contacts

  1. 01

    Target list

We start from the people you want in the room — not from the venue.

  2. 02

    Venue and date

A place within reach of the fair, on the evening that does not compete with the programme.

  3. 03

    Invitations and confirmations

Invitations, reminders and confirmed attendance, so you know the numbers before the day.

  4. 04

    Production and follow-up

Hosting, photography, and afterwards the attendance list and material for the follow-up.
